HomeMy WebLinkAboutItem #3CITY or- LADE L S I "C)RJE Ra , REPORT TO CITY COUNCIL TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: GRANT YATES, CITY MANAGER DATE: SEPTEMBER 10, 2013 SUBJECT: CANCELLATION OF CERTAIN COUNCIL MEETING DATES Recommendation It is recommended that the City Council approve the cancellation of the regular City Council meeting dates of November 26, and December 24, 2013. Discussion Many governmental agencies "go dark" throughout the year and more specifically during the holidays. Last year, this Council voted to cancel several meetings dates during the last quarter of the year. It is proposed that Council consider going dark again this year at certain designated meeting dates immediately surrounding the holidays. The proposed dates are November 26, and December 24, 2013. Due to the retrofit of the Cultural Center, it has been arranged for the regularly scheduled City Council meetings to be held at the EVMWD Board Chambers at the cost of $130 per hour. In an effort to reduce the costs associated with the renting of the off -site meeting location, staff is proposing that Council approve the cancellation of one of the regularly scheduled meeting dates during the months of November and December. November 26 falls on the Tuesday before the Thanksgiving holiday; and, December 24 is the day before a state mandated holiday in which City Hall is closed. Typically, staff goes on vacation during the holidays and business slows down therefore it is being suggested that Council consider cancelling the proposed meeting dates. Should an emergency occur a Special meeting can be called with only 24 hours posting notice to the public in order to address any City business. Fiscal Impact The cancellation of any Council meeting dates will reduce the costs incurred by the City for City Attorney, meeting location costs, and staff time. Prepared by: Virginia J.
