EVANS INTERIM CITY MANAGER DATE: MAY 8, 2012 SUBJECT: PURCHASE AUTHORIZATION TO REPLACE OBSOLETE COMPUTERS AT CITY FACILITIES 10 • Information Technolo (IT) Division replaces computers that are older than five (5) y ears to minimize maintenance cost and increase computer reliabilit Fift (51) Cit computers meet or exceed that criteria in which nineteen (19) are scheduled to be replaced in fiscal y ear 2011-2012. IT Division had used industr standards of replacin computers at a four ( 4 ) y ear lifec and opted, to chan it to five ( 5 ) y ears durin the economic down turn as a cost savin measure. IT has noticed an increase in computer service re for computers over 6 y ears old costin the Division valuable resource time. IT plans to space the future replacement computer purchases out across a couple bud c to even out the bud demand. Previousl the Cit Council approved standardizin on the Dell OptiPlex and Precision product lines to accomplish a lower cost of ownership. As per the Cit purchasin polic section 3.08.070, this purchase which is over $15,000, is exempt from a formal bid process because it is in the best interest of the Cit to use the established g overnment pricin for information technolo purchases. Fiscal Impact Consistent with the Cit practice of makin information technolo purchases under the California Municipal Awards Schedule (CMAS), Dell hardware q ualifies for purchase under the state and local g overnment CMAS or WSCA pricin schedule.
