BRADY CITY MANAGER DATE: MARCH 23, 2010 SUBJECT: REPLACMENT OF COUNTRY CLUB HEIGHTS SURVEY MONUMENTS CONTRACT AWARD Background In 1995 the Public Works Division, in an effort to reduce dust and improve safety, implemented a project to pave various streets within the Country Club Heights area of the City. In this project, several surveying monuments were inadvertently destroyed. City staff was notified by the Joint Professional Powers Committee (JPPC) that these monuments were required to be restored. For the past 2-years, staff has been working with the JPPC as well as the Board of Registration for Professional Engineers and Land Surveyors, "Board", to identify the locations at which the monuments need to be replaced. Discussion Survey monuments are placed in various locations throughout the City and they are used as reference points in surveying descriptions for parcels of properties. Under the auspices of the City Engineer, the City is responsible to maintain these monuments in the field, as well as the records describing their locations. On November 10, 2009, City Council approved the use of $35,000 of Measure A funds to replace the destroyed survey monuments in Country Club Heights. The City received only one proposal from the firm of KDM Meridian. A second proposal was received seven days after the deadline and was rejected. The firm of KDM Meridian has been previously involved AGENDA ITEM NO. 9 Page 1 of 3 Contract Award March 23, 2010 Page 2 with setting survey monuments for gravel road paving project. This firm's performance met all our objectives. Fiscal Impact The total cost for this phase of monument replacement is $35,000 for survey services and construction administration from the Measure A funds approved by City Council November 10, 2009. Recommendations 1. Award the contract to replace survey monuments in Country Club Heights to KDM Meridian for $32,500. 2. Authorize the Mayor to execute the contract with KDM Meridian.
